A beginner’s guide to audio conferencing

Well, let us explain. When you want to conduct a meeting, a training session or communicate with a group of colleagues, then audio conferencing facilities like those offered by Buzz Conferencing allow you to do those things via a phone line.

Rather than meeting face-to-face, conference calling lets you organise and conduct meetings at the drop of a hat.

How it works

Buzz Conferencing is incredibly simple and easy to use. What’s more, there are some really great features that put you in control of calls and allow them to run smoothly.

You will be provided with a phone number and PIN which you dial and input respectively, in order to begin the conference call.

But first of all, you need to invite participants to join in – via email is probably best. Let them know what time to attend the conversation, the phone number they need to access it and the unique PIN that will enable them to participate.

At the agreed time, dial the 0844 473 7300 number (or international number) followed by your PIN and name.

As others arrive, you will hear them being announced – when there are at least two people on the call, you can start talking!

When you’re finished, hang up.

We told you it was simple.

The benefits

Where do we start?

There are numerous benefits associated with using audio conferencing technology.

First of all, audio conferencing allows organisations of all sizes – from small companies to major corporations – to conduct meetings without having to face the costs associated with hiring out a room, providing refreshments and printing out documents.

In addition, it connects people all over the world at the drop of the hat. If you are a small business looking to expand into global markets, then it is unlikely you can afford to pay for flights all over the world. Using conference calling technology can allow you to speak to prospective international clients for the fraction of the price.

For companies that are embracing the benefits of remote working, using conference calls can help you to keep in touch with employees working out of the office as well as allowing them to connect with colleagues to stay on top of projects.

With an increasing importance being placed on being green, using conference calling technology can help businesses to reduce their carbon footprint. Rather than having employees go from office to office, they can use this equipment instead. Not only is it more environmentally friendly than commuting, it also saves time allowing employees to get on with the things that really matter.

There are a number of useful features that can be employed during your conference call so you can get the most out of it and make sure it goes in the direction you want.

For example, if you want to record the call, simply press #8. Press it again to stop recording. And don’t worry, at Buzz Conferencing we take your privacy very seriously which is why only the person chairing the meeting can access the recording through a secret link which we will provide after the call.

In addition to this feature, to avoid interruptions during presentations, the chairperson has the ability to mute participants’ microphones.

During Q+A sessions, all participant lines are automatically muted but they can unmute themselves when they want to ask a question – this feature stops everyone from speaking at the same time.

And these are only a handful of the options available to ensure the smooth running of conference calls. For more information see the Buzz Conferencing website.
